What does the Peppol obligation mean for your business

17 September 2025 · 3 min lezen · Digitalisatie

From 1 January 2026, it becomes mandatory in Belgium to send and receive electronic invoices via Peppol. This new legislation means a major change for every business. Anyone not yet working with Peppol will need to adapt their processes to stay legally compliant.

👉 Good news: Deskflow is already fully prepared for this obligation. Our software includes a built-in Peppol solution for both outgoing and incoming invoices, including automatic validation and linking with your existing orders and deliveries.

What exactly is Peppol?

Peppol (Pan-European Public Procurement OnLine) is an international network that lets businesses and governments exchange electronic documents, such as invoices, securely and in a uniform format.
Because of the Peppol obligation, every Belgian business will need to process their invoices digitally through this network from 2026 onward.

Benefits:

  • One standard format for every business.
  • No manual processing or human error.
  • Faster processing and payment.
  • Full traceability and transparency.
  • Legally compliant in Belgium and Europe.

Why the obligation from 2026?

The Belgian government wants to make economic transactions more efficient, more transparent and less prone to fraud. That’s why the legal obligation applies from 01/01/2026:

🗓️ Every B2B invoice must be sent and received via Peppol. (source).

This is an important step in the further digitalisation of business and makes companies future-proof.

Comparison with other solutions (e.g. Odoo, Navision, Adsolut, SAP)

Many businesses already work with well-known packages such as Odoo, Navision, Adsolut or SAP. Peppol integrations are being actively developed there too (you can easily search for these via odoo Peppol, navision Peppol, adsolut Peppol or sap Peppol).

The difference?

  • These systems are often more complex, more expensive or less flexible for SMEs.
  • Deskflow is built specifically for small and medium-sized businesses in Belgium, with a user-friendly interface and integrated modules for CRM, stock management and order tracking.
  • With us, you don’t need to install separate integrations or expensive add-ons. Peppol integration is built into our platform as standard.

That way you benefit from the same functionality as the big players, but with the simplicity and speed your business needs.
